4. Prevention Measures
We take the following steps to prevent CSAE proactively:

  • Mandatory background checks for all staff and volunteers
  • Clear conduct guidelines for anyone interacting with children
  • Limiting one-on-one interactions unless in transparent, observable environments
  • Staff training on child protection, consent, and recognizing signs of abuse

These Terms and Conditions ("Terms") govern your use of the Ireport platform ("Platform") provided by Ireport Inc. ("Company"). By accessing or using the Platform, you agree to comply with and be bound by these Terms. If you do not agree with these Terms, please do not use the Platform.

1. Eligibility

You must be at least 18 years old to use the Platform.

2. Registration and Account
To use certain features of the Platform, you may be required to register and create an account. You agree to provide accurate and complete information during the registration process and to update this information promptly if there are any changes.

You are responsible for maintaining the confidentiality of your account login credentials and for all activities that occur under your account. You must notify Company immediately of any unauthorized use of your account or any other breach of security.

3. Use of the Platform
You agree to use the Platform in compliance with all applicable laws and regulations.

You may only use the Platform for lawful purposes. You must not use the Platform to engage in any activity that is harmful, offensive, or illegal.

The Platform is intended for law enforcement agencies to streamline incident reporting and community engagement. You agree to use the Platform for this intended purpose.

4. Content
You are solely responsible for any content you submit, post, or display on the Platform, including but not limited to text, images, videos, and links.

You represent and warrant that you have all necessary rights and permissions to share the content you post on the Platform.

Company reserves the right to remove or restrict access to any content that violates these Terms or is otherwise objectionable.

5. Privacy
Your use of the Platform is subject to our Privacy Policy, which is incorporated by reference into these Terms. Please review our Privacy Policy to understand how we collect, use, and disclose your information.

6. Termination
Company may terminate or suspend your access to the Platform, without notice and for any reason, including if you violate these Terms.

7. Intellectual Property
All content, trademarks, and intellectual property on the Platform are owned by or licensed to Company. You may not use, reproduce, or distribute any of the Platform's content without the express permission of Company.

8. Disclaimers and Limitations of Liability
The Platform is provided "as is" and "as available." Company makes no warranties or representations regarding the Platform's availability, reliability, or accuracy.

Company shall not be liable for any indirect, incidental, consequential, or punitive damages arising out of your use or inability to use the Platform.

9. Changes to Terms
Company reserves the right to modify or update these Terms at any time. Any changes will be effective immediately upon posting to the Platform. Your continued use of the Platform after any changes constitutes your acceptance of the revised Terms.

10. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of Utah. Any disputes arising out of or related to these Terms shall be subject to the exclusive jurisdiction of the courts in Utah.

By using the Ireport Platform, you agree to these Terms and acknowledge that you have read and understood them. If you do not agree with these Terms, please do not use the Platform.

Department Privacy Policy

Purpose of This Policy
This Department Privacy Policy explains how Ireport collects, stores, uses, and protects information processed through Department workspaces. This policy applies to Department personnel (Command, Officers, and administrative users) and Department-managed configurations within the Ireport platform. It does not replace the Department’s internal policies, legal obligations, or statutory record handling requirements.

Department-Controlled Environment
Ireport functions as a software tool used by Departments to receive, manage, document, and review non-emergency reporting and related operational content. The Department is the controlling party for how its authorized users access and use the platform. Departments are responsible for:

  • Managing user access and permissions
  • Ensuring credentials and identity of Department personnel
  • Establishing internal standards for use, retention, and record handling
  • Ensuring compliance with applicable laws, policies, and public records requirements

Information Processed
Ireport may process the following categories of information within a Department workspace:

  • Department user account information (name, role, email, phone, credentials as applicable)
  • Civilian-submitted content routed to the Department (report details, incident location, attachments, media, identifying information submitted by users)
  • Department-generated content (notes, internal messages, case management actions, review status, assignments, investigative prompts, and related workflow activity)
  • Platform usage data (audit logs, timestamps, assignments, access history, and administrative actions)

Data Use
Ireport processes Department workspace information only for the purpose of operating and improving the platform, including:

  • Delivering features and workflows to authorized users
  • Routing reports and content within the Department workspace
  • Supporting operational functionality such as assignment, review, messaging, and record organization
  • Maintaining system integrity, security, monitoring, and troubleshooting
  • Improving performance, reliability, and product quality
     Data may be used in aggregated or anonymized form to improve the platform, including analytics and product development. Ireport does not sell Department data.

Access and Visibility
Department workspace content is accessible only to authorized users as defined by Department permissions and platform role structure. Ireport may access Department data only as necessary to:

  • Provide technical support
  • Investigate security issues or misuse
  • Maintain platform operations and reliability
     Access is limited, logged, and governed by internal controls.

Data Sharing
Ireport does not share Department workspace data with third parties except under the following conditions:

  • With Department authorization or direction
  • With vendors or service providers that support platform operations (hosting, storage, analytics, communications), under confidentiality and security obligations
  • When required by law, subpoena, court order, or lawful government request
     Departments remain responsible for responding to public records requests, discovery requests, or other legal disclosure obligations applicable to their jurisdiction.

Data Retention and Deletion
Department data retention may vary based on configuration, use, and operational requirements. Ireport does not guarantee indefinite retention. Departments are responsible for ensuring that their use of the platform aligns with retention policies or statutory obligations. Ireport may delete data in accordance with:

  • Department instructions where applicable
  • Contractual terms
  • Security requirements
  • Platform operations, upgrades, or deprecation of features
     If the Department requires specific retention behavior, it must be defined contractually or via written agreement.

Security
Ireport applies commercially reasonable administrative, technical, and organizational safeguards designed to protect Department workspace data. However, no system is perfectly secure. Departments remain responsible for secure account handling, including:

  • Enforcing strong password practices
  • Limiting access to authorized personnel
  • Disabling accounts for separated staff
  • Maintaining appropriate internal security practices
     Ireport is not responsible for security incidents caused by improper account handling or credential sharing by Department personnel.

Incident Response and Support
If Ireport becomes aware of a confirmed security incident involving Department workspace data, Ireport will take reasonable steps to investigate, mitigate, and notify the Department in accordance with applicable law and contractual obligations.

Updates to This Policy
Ireport may update this Department Privacy Policy to reflect changes in product functionality, legal requirements, or operational practices. Continued use of the platform after policy updates constitutes acceptance of the revised policy.

Ireport is a software platform designed to support communication and documentation for non-emergency reporting. It is not an emergency response service and must not be used to report emergencies. Departments remain responsible for all official actions and decisions made through the platform.

Department Responsibility:
The department agrees to manage user access, verify personnel credentials, and ensure appropriate use of the platform. All activity conducted within Ireport is the responsibility of the department and its authorized personnel.

Accuracy of Information:
Departments and their users agree to provide accurate information to the best of their ability. Ireport does not verify the accuracy of submitted content and is not responsible for any errors, omissions, or misuse of data.

Data Use & Retention:

Submitted content is stored, processed, and shared with authorized personnel only. Ireport does not guarantee data retention and may modify or remove features at any time. Data may be used in anonymized form to improve the platform.

No Guarantee or Duty to Act:

Ireport does not guarantee any response time, resolution, investigation, or outcome. The platform does not replace department protocols, procedures, or legal obligations.

Service Availability:

Ireport may undergo updates, outages, maintenance, or changes in functionality. No uninterrupted service is guaranteed.

Limitation of Liability

Ireport is not liable for:

  •  Actions or decisions made by department personnel
  • Legal consequences of content submitted or acted upon
  • Loss of data, access delays, or platform changes
  • Security incidents caused by improper account handling

Use of Ireport is at the department’s discretion and risk.

Intellectual Property and Ownership
All intellectual property rights in the Ireport platform remain with Ireport LLC. This Agreement does not grant any ownership rights in the software. The Department is granted a non‑exclusive, non‑transferable license to use the software during the Term, subject to the terms set forth in the Ireport Terms of Service.

Confidentiality
Both parties agree to maintain the confidentiality of all proprietary and sensitive information disclosed during the term of this Agreement, including technical specifications, business strategies, and data related to the operation of the Ireport platform. Disclosure of such information to third parties is prohibited unless required by law.
